Quick summary. Cooling Tower Depot collects what you give us (when you ask for a quote, create an account, or contact us) and what your browser sends (IP, page views). We use it to respond to you, run the site, and reach out about cooling tower needs. We don’t sell your personal information. You can ask to see, correct, or delete your data — details in section 7.
1. Who we are
Cooling Tower Depot®, Inc. (“CTD,” “we,” “us”) operates coolingtowerdepot.com (the “Site”) and is the data controller for personal information collected via the Site.
2. Information we collect
2.1 Information you give us
- Account & contact: name, company, job title, email, phone, mailing address.
- Quote requests: the product list, shipping address, project details, and any notes you include.
- Communications: the contents of emails, contact-form submissions, and lunch & learn / catalog requests.
We do not store credit card or other payment information on the Site. Quote requests are handled by our sales team and any payment happens out-of-band.
2.2 Information we collect automatically
- Log data: your IP address, browser type, the pages you view, and the times you view them.
- Cookies and similar technologies: see our Cookie Policy for the full list and how to manage them.
- Business identification (with consent): third-party services like Simpli.fi, ZoomInfo, and Net-Results may identify the business / organization your visit comes from for B2B outreach.

- Respond to quote requests, contact-form submissions, and other inquiries.
- Operate, maintain, and improve the Site.
- Reach out about cooling tower products, services, and industry information that may be of interest.
- Comply with legal obligations and protect our rights.
4. Legal bases for processing (EU/UK visitors)
If you’re in the European Economic Area or the United Kingdom, our legal bases under the GDPR / UK GDPR are:
- Contract — to process quote requests and run accounts you create.
- Legitimate interests — to operate and secure the Site, respond to communications, and conduct B2B outreach. We weigh these against your interests and rights.
- Consent — for non-essential cookies and tracking technologies. You can withdraw at any time without affecting prior processing.
- Legal obligation — where we’re required to keep records or respond to lawful requests.
5. How we share information
We share personal information only with:
- Service providers that help us run the Site (hosting, analytics, email delivery, advertising tools listed in our Cookie Policy), under contracts that require them to protect your data.
- Suppliers and shipping partners to fulfill quotes you request.
- Legal recipients in response to lawful requests, to enforce our agreements, or to protect rights, property, or safety.
- Business successors if CTD is acquired or merges with another company; we’ll notify you of any material change in handling.
We do not sell your personal information in the conventional sense. See section 8 for what this means under California law.
6. Data retention
We keep personal information for as long as you have an active account or open quote with us, plus a reasonable period to comply with legal, accounting, and reporting requirements (typically up to 7 years). Audit-related records like consent logs are kept for as long as needed to demonstrate compliance.
7. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete personal information, subject to retention obligations.
- Port your information to another service (where technically feasible).
- Object to or restrict certain processing.
- Withdraw consent for cookies and tracking — use the Cookie Settings link or the same link in the footer of any page.
- Lodge a complaint with your local data protection authority.
To exercise any of these, email privacy@coolingtowerdepot.com. We’ll respond within 30 days (extendable to 90 if needed); we may need to verify your identity before disclosing personal information.
8. California residents (CCPA / CPRA)
California residents have the right to know, the right to delete, the right to correct, and the right to opt out of the “sale” or “sharing” of personal information. We do not sell personal information for money, but our use of advertising cookies (Simpli.fi, ZoomInfo) may qualify as “sharing” under California law.
To opt out of sharing for cross-context behavioral advertising, set the “Marketing & Tracking” category to off in Cookie Settings, or email privacy@coolingtowerdepot.com.
We don’t discriminate against you for exercising any of these rights — you get the same service either way.
9. International transfers
CTD is based in the United States and processes personal information here. If you’re outside the U.S., transferring your information to us involves an international transfer. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for these transfers.
10. Security
CTD continually reviews and updates the security methods used to protect information transmitted via the Site. However, no internet transmission or storage is fully secure; we cannot guarantee absolute security.
11. Children’s privacy
The Site is not directed to children under 16 (or 13 in the United States). We don’t knowingly collect personal information from them. If you believe a child has provided information, contact privacy@coolingtowerdepot.com and we’ll delete it.
12. Changes to this policy
We may update this policy from time to time. The “Effective” date at the top reflects the most recent change. Material changes will trigger a fresh consent prompt and / or a notice on the Site.
